Job Summary
The Document Controller is responsible for managing, organizing, and maintaining all project documentation in a systematic and secure manner. The role ensures that documents are accurate, up-to-date, and easily accessible to relevant teams. This position plays a critical role in supporting project operations by maintaining document control procedures, tracking revisions, and ensuring compliance with organizational and industry standards.
Key Responsibilities
Maintain and manage all project documents, records, and files in both physical and digital formats.
Ensure all documents are properly categorized, coded, updated, and stored in the document management system (DMS).
Control and track the distribution of documents, drawings, and correspondence.
Review documents for accuracy, completeness, and compliance with company standards.
Manage document revisions, updates, and version control.
Coordinate with project managers, engineers, contractors, and other departments for document submissions and retrieval.
Ensure timely processing, scanning, filing, and archiving of documents.
Prepare and maintain document logs, registers, and transmittals.
Handle confidential and sensitive information with professionalism and security.
Assist teams during audits by providing required documentation and reports.
Implement and maintain document control procedures and best practices.
Required Qualifications
Diploma or Bachelor's degree in Administration, Engineering, or a related field.
02–04 years of experience as a Document Controller, preferably in construction, engineering, or industrial sectors.
Proficiency in document management systems (Aconex, EDMS, SharePoint, etc.) is an advantage.
Strong computer skills (MS Office, PDF tools, Excel, etc.).
